APPENDIX A. THE IICRC PRIVACY NOTICE

A1.       OUR COMMITMENT TO PRIVACY

Your privacy is important to us. To better protect your privacy, we provide this notice explaining our information practices and the choices you can make about the way your information is collected and used. To make this notice easy to find, we make it available electronically on the IICRC homepage and at points where personally identifiable information may be requested by the IICRC.

A2.      THE INFORMATION WE COLLECT

This notice applies to all information collected or submitted to the IICRC, including information submitted on the IICRC paper forms and applications, or on the IICRC website. The type of personal information collected by the IICRC includes, but is not limited to, the following:

  • Name
  • Birth date
  • Job position
  • Home address
  • Company name
  • Company mailing address
  • Email address
  • Phone numbers
  • Fax number
  • Credit/Debit card numbers (collected from the IICRC Registrants and the IICRC Certified Firms for one-time use only)
  • Insurance Information

  • Qualifications and credentials (training, education, experience)
  • Areas of interest or expertise
  • Potential sources of bias and conflict of interest (funding/income)
  • Organizational affiliations

A3.      THE WAY WE USE INFORMATION

The IICRC will use the personal information you provide us for the purpose for which it is submitted such as to communicate with you; to reply to your letters and emails; to answer your questions; to communicate with your on-file employer regarding confirmation of your certification and fulfillment of annual registration fees and continuing education requirements; to process billing and business requests related to program participation; to provide operational notices; to email informational blasts; and for program record-keeping.

IICRC Headquarters staff (both domestic and international) and the IICRC officers, directors and committee chairs and vice-chairs also use personal information collected for a variety of additional operational purposes, including: placement of volunteers in positions, determining compliance with the IICRC policies and requirements, processing certification examinations, evaluating applicants for approval as instructors and schools, evaluating applicants for the many certifications and designations offered by the IICRC, processing of complaints, and for other internal operations and activities related to the functions and purposes of the IICRC.

Our research and record-keeping may lead to publication of aggregate demographical data but will not result in the reporting or publication of any personal information provided to us. At certain points where personal information is collected by the IICRC, there may be a box where you may indicate you would like to be on a mailing list to receive information about the IICRC programs and services and about ways to volunteer with and support the IICRC. At any time, you can add or remove your name from such an IICRC list by contacting us as indicated below. In addition, we may use your email address to forward newsletters and other information and notices related to the IICRC or the inspection, cleaning, restoration and remediation industry or related industries, that may be of interest to you.

A4.      HOW YOUR INFORMATION MAY BE SHARED

At IICRC it is sometimes necessary to release information for the purposes of verifying registrant and firm certification. Such information may include individual and/or company names and current and past certification status.

Also, it will be necessary for the IICRC to provide contact information for the IICRC approved schools for purposes of class scheduled information. The approved school contact information will appear on the IICRC website. There may be times where a registrant or other caller would like to contact his/her instructor directly, but it is the IICRC policy to refer such calls to the instructor’s approved school.

In addition, the IICRC shares contact information for approved schools/sponsors that provide the IICRC approved continuing education events. Such information may include individual/organization name, event name, telephone number and website address.

The IICRC also shares contact information for approved the IICRC exam monitors. Such information may include individual names, company names, cities, states, countries, telephone numbers and certification monitor categories.

The IICRC certified firms and the IICRC practicing inspectors are automatically included in the IICRC referral system. Participation in the IICRC referral system requires release of some of your personal information by the IICRC to consumers requesting referrals, which facilitates consumer contacts.

Consumers may also access information for individuals with the IICRC Advanced Master Designations for the purposes of credential verification via the “Locate a Pro” website. Such information may include name, telephone number, website address, zip/postal code, cleaning methods and services offered.

Periodically, lists of the IICRC registrants are requested from the IICRC by third parties for a variety of purposes. Except as otherwise provided in this policy, such lists or any part thereof shall not be released, as they are confidential and proprietary to the IICRC, and contain private information governed by this policy.

Before the IICRC can release any certified firm or registrant information to a franchisor, the franchisor must obtain a written release from the IICRC certified firm or technician in the franchisor’s system, authorizing the IICRC to provide the requested information.

Before the IICRC can release any registrant information to a registrant’s employer, the employer must obtain a written release from the registrant, authorizing the IICRC to provide the requested information.

The authorized agent of a certified firm or any registrant can provide the IICRC with a written release, authorizing the IICRC to release information to third parties, including, but not limited to, information which confirms compliance with the IICRC’s certified firm program and an individual’s or registrant’s certification status.

In addition, it may be necessary to release your name and contact information to third parties when you participate in the IICRC standard development activities in order to comply with the requirements of the American National Standards Institute (ANSI), which is the body that accredits the IICRC standards and its standards development practices.

In addition, it may be necessary to release your name, contact information, and the IICRC certifications and designations to third parties in order to comply with the requirements of organizations that may accredit the IICRC certification programs.

The IICRC may also release personal information under the following circumstances:

  • Where release is required by law (for example, a subpoena) or regulation or is requested by a government agency;
  • Where our records indicate an individual or company may be engaged in illegal or fraudulent or deceptive activity;
  • To appropriate persons, where communication suggests possible harm to others.

A5.      OPT OUT PROVISIONS

You may prevent use of your email address by the IICRC for information and notices related to the IICRC or the inspection, cleaning, restoration and remediation industry or related industries, by advising us not to use your email address. The IICRC forms, applications or renewal applications, and related materials that collect personal information, including the IICRC website, contain language allowing registrants to “opt out” of the use of their email address by the IICRC.

The IICRC Certified Firms, Practicing Inspectors and individuals with the IICRC Advanced Master Designations may prevent disclosure of personal information by the IICRC to consumers that request referrals or seek credential verification, by requesting to not participate in the IICRC referral system or to have credentials verified via the “Locate a Pro” feature on the website.

A6.      OUR COMMITMENT TO DATA SECURITY

To prevent unauthorized access, maintain data accuracy, and ensure the correct use of personal information, we have put in place appropriate physical, electronic and managerial procedures to safeguard and secure the information we collect.

A7.      HOW YOU CAN ACCESS OR CORRECT YOUR INFORMATION

You may access all your personally identifiable information collected and maintained by the IICRC by contacting the IICRC as described below. You may correct factual errors in your personally identifiable information by sending us a written request to the contact person provided below that credibly shows error. To protect your privacy and security, we will also take reasonable steps to verify your identity before granting access or making corrections.

This Privacy Notice and the IICRC Privacy Policy may be revised from time to time. If the IICRC materially changes its privacy notices, policies or practices, we will notify you by posting the changes in advance on the IICRC website and by revising and promulgating this Privacy Notice, as necessary.
